So you've got a TOP SECRET document you need to print and don't want anyone to see it before you can run down to the Elementary Resource Room? We've got you covered!
There is a way to print a document and have the printer hold onto it until you get to the printer. Once there, you can select it and type in a personalized code before it will print. What is this amazing feature? Secure print!
There are a few steps you'll have to do to get secure print set up, but we'll walk you through them:
- Open up any document you'd like to print (we recommend a Word document to get things set up)
- Go to the print menu (File > Print, Ctrl + P, or however you like to get to the print screen)
- Select the RICOH MP C6004ex Elementary Resource Room printer from this list
- Click 'Printer Properties'
- On the tab labeled 'Basic' click the button 'Modify' to the right of the Job Type
- In the Job Type dropdown, select 'Locked Print'
- You can leave the Classification Code blank
- Under User ID, select Create Own ID
- Under Enter User ID, enter as much of your username as you can (what you use to log into your computer), up to 8 characters
- Under Password, enter a 4 to 8 character password using only numbers
- Click OK
- Under Color Mode, change the selection to Black & White (This printer only allows for B&W printing; if you need color printing, please contact the Elementary Office)
- Define any other settings you want for your Secure Print template (for example, 2-sided, hole punch, staple, etc.)
- Once finished defining settings, on the Basic tab, in the left-hand column, click 'Register Current Settings...'
- Give the preset a name (we recommend 'Secure Print') then click OK
- Now we have these settings saved for future use
- To test the Secure Print settings, click OK on the Printing Preferences menu, then in Word, click Print
- This will send the job to the printer where we will have to authorize the print
- At the printer in the Elementary Resource Room, using the touch screen, tap 'Printer (Classic)'. Note: The touch screen has various pages, you may have to swipe to the right to access this option. Do not use the Quick Print option.
- Tap the option 'Print Jobs' then tap on the User ID you created in Step 9
- Tap on the document you want to print (you should only have one unless you've sent various), then tap 'Print' on the lower right-hand side of the screen
- In the popup that appears, enter the numeric password you created in Step 10 using the on-screen keypad to the right, then tap OK
- A confirmation page will load, tap 'Print'
- The document will now print and you can take your TOP SECRET document without prying eyes seeing your confidential information
- For the future, since we saved this as a preset, you can simply go into Printing Preferences as we did in Step 4, then select the One Click Presets tab and choose SecurePrint (or whatever you named the preset in Step 15)
